79 Teams Compete to Drive AI-Powered Administrative Innovation at Feng Chia University, with Office of Academic Affairs Student Assistant Management System Taking Top Prize

The Office of Human Resources at Feng Chia University organized the “AI Leadership: Smart University Administration Innovation Competition,” attracting 79 teams composed of faculty and staff members from across the university. The award winners were announced during the expanded administrative meeting held on September 30. The Office of Academic Affairs team claimed first place with its Student Assistant Intelligent Management System, developed using Microsoft 365 Copilot and Claude Code. The Office of the Secretariat team’s Campus Information Catcher and the Office of Virtuosi Campus Management team’s Virtuosi Smart Operations Team tied for second place.
Cheng-Shu Kao, Chairperson of Feng Chia University, and An-Chih Liu, Chun Yu Chair Professor, attended the event and listened to presentations from the top three teams. Chairperson Kao praised the participants’ efforts, noting that several of the proposed systems have already been implemented in practice. He encouraged colleagues to continue exploring AI applications and announced an additional NT$10,000 bonus for each of the top three teams as well as the seven honorable mention teams.
The winning Student Assistant Intelligent Management System addresses longstanding challenges in managing student assistant scheduling and teaching evaluation assignments within the Office of Academic Affairs. Previously, staff members had to switch between Excel, Power BI, and Google Sheets while manually checking schedule conflicts and assignments. The new system automatically imports class schedules to avoid conflicts and can generate labor attendance record PDFs that comply with university regulations with a single click. The team also developed a mobile app featuring assignment route maps and heatmap-based scheduling tools, allowing student assistants to select available tasks independently while the system automatically generates schedules. The streamlined process has also simplified payroll reimbursement procedures. Because the system’s backend settings are highly flexible, other university units can readily adopt it for their own operations.
The two second-place teams also focused on solving practical workplace challenges. The Office of the Secretariat developed an AI-powered Website Quality Assessment Dashboard capable of reviewing websites page by page to evaluate content, photos, academic program presentation, and link accuracy, while also tracking news publication statistics, replacing labor-intensive manual reviews. Meanwhile, the Office of Virtuosi Campus Management designed the Virtuosi Smart Management Platform to support venue reservations, facility maintenance requests, and operational cost analysis. Through AI assistants and automated workflows, the platform improves efficiency in facility management and campus services for faculty and students.

By integrating AI assistants and automated workflows, the platform streamlines tasks such as venue reservations, facility maintenance requests, and operational management, enhancing both administrative efficiency and user experience.
Starting from everyday operational challenges, the Office of the Secretariat earned a tie for second place with its Website Quality Assessment Dashboard, which uses AI-assisted analysis to review website content, images, program presentation, link accuracy, and news publication statistics, significantly reducing the need for time-consuming manual inspections. The project shared second-place honors with the Office of Virtuosi Campus Management team’s Virtuosi Smart Management Platform.
Launched during the summer of 2026, the“AI Leadership: Smart University Administration Innovation Competition” was designed around the goals of reducing workload, improving efficiency, and fostering innovation, encouraging faculty and staff to transform cumbersome administrative procedures into intelligent workflows. A total of 79 teams entered the competition, with each team nominated by its respective first-level administrative or academic unit.
Following the preliminary review process, 24 teams advanced to the preliminary presentation round on August 14, where they shared their AI implementation projects and practical outcomes with faculty and staff across the university. Ten teams were subsequently selected for the final round on September 16, where a judging panel evaluated the projects and awarded one first-place prize, two second-place prizes, and seven honorable mentions.
In addition to the formal awards, more than 500 faculty and staff members participated in voting for the People’s Choice Award during the preliminary round. The award recipients were the Office of Virtuosi Campus Management, the Office of General Affairs, and the College of Engineering and Science, recognizing the broad appeal and practical value of their AI-driven solutions.

Following on-site voting, teams from the Office of Virtuosi Campus Management, Office of General Affairs, and College of Engineering and Science were awarded the top three People’s Choice Awards, recognizing the popularity and practical value of their AI-driven innovations among faculty and staff.
Since the summer of 2023, Feng Chia University has promoted comprehensive staff development programs as part of its commitment to becoming a learning organization, with the goal of strengthening professional competencies and enhancing service quality. This year’s competition built upon the AI training initiatives launched during the previous summer and was complemented by a series of AI application courses designed to gradually improve faculty and staff members’ practical skills in using generative AI. In addition to in-person workshops, self-paced online courses were made available through the university’s learning platform, helping reduce barriers to AI adoption and providing accessible learning opportunities for those less familiar with the technology.
Now in its second year, the AI innovation competition will continue and expand in the coming year. Award-winning projects will be shared across administrative and academic units to promote broader implementation and collaboration.
